Administration Team Leader
Location: Harlow, Essex
Salary: £31,000 per annum + £750 annual bonus
Hours: Monday–Friday, 8:30am–5:00pm
*Role becomes Hybrid after probation*.

The Role: We are recruiting for an Administration Team Leader to join an established engineering services business based in Harlow.
The Business Services team plays a key role in supporting the company's field operations, particularly across Local Authority and Social Housing contracts.
The Team Leader will combine day-to-day operational administration with people leadership, ensuring engineers are effectively scheduled, jobs are correctly managed through the system, customers and tenants receive a high level of service, and the administration team has the support and direction it needs.
This could be an excellent opportunity for an existing Team Leader or a strong Senior Administrator, Scheduler or Service Coordinator ready to take the next step into leadership.
Key Responsibilities
You will have experience within a busy service-led administration, scheduling or coordination environment, particularly where you have been responsible for organising field engineers or operatives.
Experience within Social Housing, Property Maintenance, Facilities Management, Fire & Security, Electrical, HVAC, M&E, Compliance or Engineering Services would be particularly relevant.

Key Responsibilities
- Lead, support and motivate a team of Business Services Administrators.
- Manage daily workloads and ensure work is distributed effectively.
- Oversee the scheduling and coordination of field engineers, including servicing, routine inspections and small works.
- Ensure jobs are accurately raised, allocated, updated and closed on internal systems and customer portals.
- Monitor outstanding jobs, appointments and follow-up actions.
- Act as an escalation point for more complex engineer, customer and tenant queries.
- Support the team with issues around appointments, access, engineer availability and job requirements.
- Ensure enquiries from Local Authority/Social Housing clients and tenants are handled professionally and efficiently.
- Work closely with Contract Managers, engineers and Operations to support successful contract delivery.
- Monitor workloads, administration quality, service levels and KPIs.
- Coach, mentor and support members of the administration team.
- Assist with one-to-ones, training and development.
- Help manage holidays, absence and team coverage.
- Identify areas where administrative processes or service delivery can be improved.
- Maintain a positive, organised and accountable team environment.
You will have experience within a busy service-led administration, scheduling or coordination environment, particularly where you have been responsible for organising field engineers or operatives.

- Team leadership, supervision or mentoring.
- Scheduling and coordinating field engineers/operatives.
- Managing busy diaries and changing priorities.
- Dealing with customers, clients and/or tenants.
- Handling queries and escalations.
- Monitoring jobs from initial booking through to completion.
- Working with internal systems and customer portals.
- Supporting SLAs/KPIs and maintaining service standards.
- Working closely with operational and contract management teams.
- Coaching and developing other administrators.
